Factory audits used to mean a flight, three days and a translator. Today, most of what a physical audit verifies can be checked in a structured 60-minute remote video walk-through — provided you know exactly what to ask for at each station.

This checklist gives project buyers the full route: what to inspect zone by zone, which documents to verify on camera, and how to classify what you find. It is written for procurement engineers qualifying ball valve suppliers for oil & gas, chemical and water treatment projects, and it works equally for first-time qualification and periodic re-audits.

How to Organize the Remote Audit

Four logistics decisions made in advance double the audit's value:

  1. Schedule with the factory, not the sales office.Require the production manager or QC supervisor on the call — the person who can open drawers, show work orders and pause a machine.

  2. Fix the route in advance.Send the six-zone route below before the call. A supplier who resists a pre-agreed route is telling you something.

  3. Record the session(with consent) and have a second person capture screenshots of documents, gauges and nameplates.

  4. Ask for the camera to show details, not panoramas.Nameplates, pressure gauge faces, certificate numbers and work-order text must be legible on screen.

The audit itself follows the product's life through the factory — raw material, casting, machining, assembly, testing, packing — which mirrors exactly how quality is created or lost.

Ball Valve Factory Audit Checklist

Zone 1: Raw Material Intake

#

Check item

What "pass" looks like

1

Material storage

Grades segregated and labeled; no mixed piles

2

Verification records

Spectrometer (PMI) logs for incoming heats, tied to heat numbers

3

Traceability start

Heat numbers physically transferred to each batch traveler

4

Rejection loop

A visible quarantine area for non-conforming material

Zone 2: Casting (if applicable)

#

Check item

What "pass" looks like

5

Process on site

Silica sol investment casting and/or sand casting lines visible and running

6

Casting records

Chemical analysis per heat; heat treatment charts on request

7

Casting inspection

Visual and dimensional sampling of castings before machining

If casting is outsourced, the audit instead verifies the sub-supplier list and incoming casting inspection — acceptable, but it must be declared, not discovered.

Zone 3: Machining

#

What "pass" looks like

8

Equipment

CNC machining centers proportionate to the valve range offered

9

Process control

Work orders at machines matching the products claimed

10

Critical dimensions

Ball and seat pocket tolerances stated and gauged (ask for the gauge)

11

Surface finish

Sealing surfaces protected from handling damage between stations

Zone 4: Assembly

#

Check item

What "pass" looks like

12

Cleanliness

Assembly area separated from machining chips and dust

13

Torque control

Calibrated torque tools for body bolts and packing

14

Component match

Seats, balls and stems issued per work order, not free-picked

Zone 5: Testing — Where the Audit Is Won

#

Check item

What "pass" looks like

15

Test rigs

Hydrostatic and pneumatic stands with valid gauge calibration labels

16

Test standard

Tests executed per ISO 5208 or API 598 — ask which rates they apply

17

Records

Test reports generated per valve or batch, with tester signature

18

Special tests

Fire-safe (API 607) and antistatic capability declared as tested designs, not generic claims

Ask the operator to run one live test on camera: filling, pressurizing and holding. Ten minutes of real testing outweighs any brochure.

Zone 6: Warehouse and Export Packing

#

Check item

What "pass" looks like

19

Finished goods control

Batch-labeled, traceable, segregated storage

20

Export readiness

Suitable export packing (including ISPM-15 compliant wood where required), documentation package defined per shipment

Document Verification (On Camera)

Beyond the physical route, request the camera to show:

  • Business licensewith manufacturing in scope

  • ISO 9001certificate — name matches the audited factory, number and validity verifiable with the certification body

  • Product credentialsrelevant to your scope: CE/PED (with notified body number), ATEX, API 607 fire-test reports, TA-Luft, SIL as applicable

  • One complete batch dossier: material certificates (EN 10204 3.1), pressure test report, inspection release — from a shipped order, not a template

Classifying What You Find

  • Critical: falsified or mismatched certificates; no test equipment; no traceability. End the evaluation.

  • Major: outsourced casting undeclared; missing calibration; no PMI records. Require corrective action with evidence within a defined deadline.

  • Minor: housekeeping, labeling gaps, incomplete test forms. Note, and verify improvement at re-audit.

A strong supplier may still show minors — factories are living systems. What distinguishes a manufacturer is that every major finding has an owner, a fix and a date.

What Comes After the Audit

  1. Issue the audit report with findings classificationto the supplier within 48 hours

  2. Agree corrective actions and evidence for all majors

  3. Place a documented trial order— full batch dossier, witnessed or reviewed tests — before first project supply

  4. Re-audit annually, or before any order above a defined value

Auditing a Supplier That Invites It

Wenzhou Linkv Valve Co., Ltd. schedules remote video audits on request: the standard route covers its silica sol investment casting and sand casting lines, CNC machining centers, spectrometer material verification, assembly and ISO 5208 pressure testing, and finished-goods warehouse — the same route described above. Third-party inspections by SGS, BV or TÜV are accepted at the pre-shipment stage for project orders. FAQ

Q1: Is a remote video audit as reliable as an on-site visit?

For supplier qualification, it verifies 80% of what an on-site audit does — the physical equipment, live processes and documentation. Reserve on-site visits for high-value project contracts, and combine with third-party inspection for the rest.

Q2: How long should the audit take?

Plan 60–90 minutes: 8–10 minutes per zone plus document verification. Rushed audits are usually supplier-driven — insist on the full route.

Q3: What if the factory declines to be video-audited?

That is itself the finding. A manufacturer invested in project business accepts audits as routine; refusal removes them from any audited procurement.

Q4: Should certificates be verified outside the audit?

Always. ISO certificates are checkable in the certification body's public database; CE/PED documentation must carry the notified body number; API, ATEX and SIL numbers are independently verifiable.

Q5: How often should a qualified supplier be re-audited?

Annually as a baseline, and additionally before orders above a contractually defined value or when certifications come up for renewal.
